Delay in Receiving Emails

For around 2 weeks now my incoming email has been delayed for 30 hours plus.  I can send immediately and recipients are receiving quickly but I need to find out why my incoming mail is taking so long.

Any help will be much appreciated.

Re: Delay in Receiving Emails

I don't think it is the same as I'm not using forwarding at all.

Re: Delay in Receiving Emails

Maybe I should also say I'm using Outlook on a Windows 10 laptop and have been using that for some time. This delay only started 2 weeks or so ago and I'm not now at home but the problem remains on this network.

Re: Delay in Receiving Emails

We need you to post a header from one of the delayed mails. If you use web mail instructions are here on how to extract it.

https://www.virginmedia.com/help/virgin-media-mail-email-headers

You must edit it so that full e-mail addresses are not visible. Cut and paste the header in this thread. When you a new post use the </> symbol to insert the text (expand the toolbar - three dots ... to do this and reveal the full symbol set). You can edit within it. It preserves the formatting.

We should then be able to see where the delay is occurring.

There is something else you can do to make the header a bit more intelligible. Use MX toolbox here:

https://mxtoolbox.com/EmailHeaders.aspx

to analyse the header and that will show where the delays are occurring. Doesn't matter if you can't understand it all. We can.  Post the result here.

Re: Delay in Receiving Emails

You don't use web mail. But you can still get the header.

https://www.technipages.com/outlook-view-message-headers

plenty of other guidance on how to do this if you Google for it.

Re: Delay in Receiving Emails

Here's a header from an email that was received in my Outlook box around 13:30 today after numerous send/receive requests.  I think it was sent around 01:30 this morning.

Re: Delay in Receiving Emails

I haven't the time to look at this in detail this evening, but a quick glance shows a two hour or so delay from when the mail was sent to it being received by VMs MTA. I wonder what was happening in that period? I have an idea but it is never wise to speculate, so I won't.

I've highlighted in red the relevant lines of your e-mail header. They show that once the e-mail had been received by VMs servers (both the MTA and the internal servers) there was no delay in the internal transactions and then dispatching it to your mail box. The delay is clearly evident in the part of the header (nearest the bottom) where it took over 2 hours to get from the sending server to VM's MTA (message transfer agent). We used to see delays in the internal transactions and that was due to a fault between the servers (if I recall correctly)

There may also be a clue in the names of the servers used by the sender to get this e-mail through.  My most likely scenario is that VM were applying rate limiting to mail coming from the sending server. VM can do this in the case of bulk e-mailings (which this is - I get the same the same mail because we are both subscribers to the eminently sensible Mr Lewis's mail) as an anti-spam measure.

The sending server keeps trying until the mail is accepted which it is eventually. If it hasn't been accepted by the end of the sending server's time out period (which can be quite long) then the sender gets a rejection notice and you are none the wiser.

But this is essentially speculation. We've seen this before sometime ago but we haven't seen it recently. But that is a guess not a definitive view.

You are getting delays in receiving mail, which vary in length of which this is but one example. Bearing in mind that the international conventions on e-mail do not guarantee instantaneous delivery, this is still worthy of VM's investigation.  They have the server logs for this particular e-mail and so, in principle,  can see what is happening (which we can't).

I am therefore going to ask the VM Forum Team to refer this upwards to the VM e-mail team to see if they can cast any light on this incident and on the position generally.

You need to be prepared for a bit of a wait on this one and also for the fact that the Team may come back and say that their enquiries have proved fruitless. Remember we are looking for a needle in haystack here. The server logs contains millions of transactions. But it is our only chance of trying to shake the tree and see what falls out.

Hope this is of some help.

@ModTeam -  One for the VM e-mail team please. I have provided the evidence and a plausible explanation. We need to have a view on what happened here and what may be going on generally. Rate limiting is not unheard of.  The VIPs thought it had gone away but maybe its back?
